Microsoft Teams Presence Sync with Univerge Blue Connect and Engage
What to Know First
Before you can use the Presence integration with Microsoft Teams, you must have Administrator Level access for the following:
• Microsoft Azure Active Directory (AD) with Microsoft Office 365 Global admin access
• Account Contact with Security Manager role assigned
Note: For Presence information to synchronize correctly, the email address associated with both Azure admin and Control Panel accounts must be identical.
Note: If you have both Univerge Blue® Engage and Univerge Blue ® Connect, and already have Microsoft Teams Presence Sync activated for Univerge Blue ® Engage, you should de-activate it before continuing to activate Univerge Blue ® Connect Microsoft Teams Presence Sync. Activating the Teams Presence Sync with Connect will also synchronize presence with Engage.
Enabling the Sync
Univerge Blue® Connect to Microsoft Teams
Enabling the Univerge Blue ® Connect apps to update presence information in Microsoft Teams is as simple as these steps:
1. Login to Control Panel using your Account Contact details (which must have the Security Manager role assigned) and navigate to Account > Security Policies > Identity Management
2. Click on the Setup Azure integration button
3. When prompted, sign in to your Azure account using the administrator login (with Office 365 Global administration rights) described under prerequisites. You may need to accept the terms and conditions to continue.
4. Having established the integration with Azure, scroll down to the Presence synchronization with Microsoft Teams section of the Identity Management page and click on the Enable presence sync button.
5. You will need to re-authenticate your Azure account and grant permission to access the presence information.
Note: Presence sync from Univerge Blue® Connect to Microsoft Teams will only occur for users having matching email addresses in Control Panel and Azure AD.
MS Teams to Univerge Blue ® Connect
To enable presence information from Microsoft Teams to be retrieved and reflected in Univerge Blue® Connect an Azure user is needed that is dedicated to the sync. We recommend creating a new user in Azure AD specifically for this purpose. Instructions for doing so can be found later in this article (ANCHOR).
1. Complete the steps for Univerge Blue® Connect to Microsoft Teams sync described above.
2. Create a dedicated Azure AD user for sync (see ANCHOR).
3. Enter the sync user’s details (login and password) in the Presence synchronization with Microsoft Teams section of the Identity Management page.
Note: Presence Sync from Teams to Univerge Blue® Connect will only occur for users having matching email addresses in Control Panel and Azure AD.
Create Sync User
It is recommended that a specific, dedicated Microsoft Azure AD user is created to enable sync of presence from MS Teams to Univerge Blue® Connect. Follow these steps to create a new user for this purpose in Azure:
1. Login to the Microsoft Azure AD admin center.
2. Navigate to the Users page by selecting Users from the left-hand menu.
3. Click on + New User and select Create user.
4. When prompted provide the details for the new user.
o User name: For ease of identification we suggest using a name that clearly identifies the user as the presence sync user, but this is not a requirement for the integration to work.
o Password: You can provide a password or auto-generate one.
o The remaining user information is not needed and can be left blank.
5. Click on the Create button to confirm creation of the new user.
6. The new user may need the password to be changed on first login. If this is the case, it will prevent enablement of Teams to Univerge Blue® Connect sync with the error “Azure login error. Has first login password change been completed?”. Before proceeding please login to Azure as the sync user and change the password if requested.
Note: You will need the user name and password to complete the enablement of Microsoft Teams to Univerge Blue® Connect sync, so make a note of them.
Disable Sync
To disable the presence Sync between Univerge Blue® Connect and Teams complete the following steps:
1. Log into Control Panel using your Account Contact details (which must have the Security Manager role assigned) and navigate to: Account > Security Policies > Identity Management.
2. Scroll down to the Presence synchronization with Microsoft Teams section and click on the Disable button.
3. When prompted, confirm that you want to disable the Sync by clicking on the Disable presence sync button.
Why do I need to create a new user in Azure AD?
This user is created specifically for the presence sync purposes so you won’t provide us the credentials of the real Azure AD user. It won’t impact your system and also, it’s free for you.
Why does the process contain 1-way and 2-way syncing?
It can be used for different purposes provided below. But it is advised to turn on 2-way sync.
1-way sync is a part of the integration setup. If organization’s users need 1-way sync from Univerge Blue® Connect to Teams then it will work for them. But if organization’s users are actively using both of the systems, then the 2 way sync will be very useful.
Does presence sync work only with Web version of Microsoft Teams?
No, the presence sync is compatible with any Teams version, but we highly recommend using it with Teams Desktop application.
